Billing Clerk
NATURE AND SCOPE OF THE POSITION
The Billing Clerk works under the supervision of the Administrator to accurately invoice williamsworks’ clients. Specifically, the Billing Clerk will:
- Support the billing process by working with the accounting department to prepare invoices, create receipt packets, and organize receipt folders.
- Process and track employee out of pocket expenses, expense reports and reimbursements.
- Follow up as needed on billing and expense-related queries from the williamsworks’ team and clients.
RESPONSIBILITIES (APPROXIMATELY 25 HOURS/MONTH)
Weekly: (1-2 hours)
- Process and appropriately file out-of-pocket receipts
- Track down any missing receipts and follow up on out-of-pocket expense queries as needed
- Process and submit expense reports and cash reconciliations to the accounting department.
Third week of the month: (4-5 hours)
- Request, edit and submit client Deliverables to the accounting department for preparation of retainer invoices.
- Begin preparation of client out-of-pocket receipt packets, using spreadsheets and reports generated by the accounting department.
4th week of the month until completed: (10-12 hours)
- Finalize client receipt packets and send to the accounting department for preparation of Receipt Invoices.
- Authorize the accounting department to prepare and send end-of-month Invoice Packets for each client.
- File and maintain soft copies of client retainer and receipt invoices.
Miscellaneous: (Approximately 2 hours/month)
- Research and respond to any queries from clients or williamsworks team regarding invoicing.
EDUCATION, SKILLS AND PERSONAL CHARACTERISTICS
- Associates degree, Bachelor’s degree preferred
- At least 3 years’ experience in an accounting-related position, including processing expense reports and cash reconciliations. Prior nonprofit, philanthropic or political experience a plus
- Experience with common bookkeeping processes (billing, accounts payable, etc.)
- Proficiency above a basic level with Microsoft Office (Word, Excel, and Outlook)
- Excellent attention to detail, time management and organizational skills)
- Brings creativity, tenacity and good judgment to the job)
- Professional, gracious demeanor even under pressure)
- Self-directed while also a natural team player)
- Flexible, responds well to change)
- Takes the job seriously without taking oneself too seriously; good sense of humor)
