Amref Health Africa is an independent, non-profit, Non-Governmental Organization (NGO) whose mission is "to improve the health of people by partnering with and empowering communities and strengthening health systems". Amref Health Africa has over 500 employees throughout Africa with its headquarters in Nairobi, Kenya. Amref Health Africa has offices in Tanzania, Ethiopia, Kenya, Uganda, Malawi, South Sudan and Senegal and a number of offices in Europe and North America for fundraising.
Amref Health Africa-Tanzania is largely supported by Multilateral, Bilateral and National donors, implementing several programmes including HIV/AIDSITB/Malaria, Reproductive, Maternal, Newborn and Child Health, Water and sanitation, capacity building and clinical outreach.
Amref Health Africa with its partner Legal Human Right Centre (LHRC) have received funds from UN Women through the UN Trust Fund to implement a three year project on Female Genital Mutilation Elimination (Tokomeza Ukeketaji) in Serengeti district, Mara region.
Also, Amref Health Africa has received funding from the Government of Canada under "Partnership initiatives to Strengthen Maternal New- born and Child Health (PS-MNCH) in developing countries. This is a five year project to be implemented in two districts in Geita region (Geita DC and Nyang'wale).

JOB OBJECTIVE:-
Job holder is to have Personal Administration talent to support and report direct to the Country Director to provide executive support in a one-on-one working relationship.
The Executive Secretary serves as the primary point of contact for internal and external undertaking on all matters pertaining to the office of the Country Director.
The Executive Secretary also serves as a liaison to the Advisory council and Senor Management Teams; organizes and coordinates external relations efforts, and oversees special projects in which Country Director has directed.
The Executive Secretary must be creative with a lot of innovations and hardworking. The ideal individual must have the ability to exercise good judgment in a verity of situation with strong written and verbal communication; and administrative and organizational skills, and the ability to maintain a realistic balance among multiple priorities.
The Executive Secretary will have the ability to work independently on various assignments, from conception, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion. .
DUTIES AND RESPONSIBILITIES:-
Provide Personal Assistant and Administrative support principally for the Country Director
Manage Country Director's diary on daily basis
Logging, processing and disseminating correspondences as far as Country Director's undertaking is concerned
Drafting standards correspondences, producing letters, papers and other documentation to the highest standards of presentation Processing and distributing a variety of reports
Advance planning and logistical support for meetings (e.g. preparation of weekly schedules of visit and meetings, chasing agenda briefing papers etc))
Acting as first point of contact in the Country Director's office for all internal and external enquires by telephone and personal. These enquires are frequently of a confidential and/or sensitive nature and requires understanding and discretion
Responsible for arrangement of the Country Director's national and international travel requirements including arrangement of hotel accommodation, car/taxi as required, managing all travel using the organization approved travel providers via electronic booking system; researching and reserving domestic and international flights reservations; ensuring that VISAs are applied for when required.
Follow up of payment of the Country Director's expenses, processing of invoices using the organization's financial system .
Preparation of guest list coming to the Country Director for the Country Director's approval
Provide support to the Country Director when high impact VIP guests are received at the Organization
Reviewing communication directed to the Country Director and where appropriate either summering, responding, initiating, fact-finding and or referring to the appropriate organization officials
Annual planning as well as ad hoc planning of activities such as SMT Retreat
Coordinating the execution of events under the office including meetings, workshops and other work-related gatherings
Developing and maintaining relevant databases and filing systems for optimal management of information and contacts
Maintaining the office inventory and stationary supplies and utility services maintenance
Liaising with both external and internal contacts in coordination with the director to ensure follow-up and execution of planned activities. This includes but is not limited to Amref Health Africa's collaborators, donors, partners, managers and staff as may be relevant
Monitoring the office budget and support its preparation as needed
QUALIFICATION AND EXPERIENCE:-
Diploma in secretarial/Management, (degree in Business Administration/Management or related field is desirable) Superior skills in Microsoft office (Outlook, Word, Excel power Point and (Keynote) and Adobe Acrobat
Must have very good command in English and profound writing skills
Knowledge on modern office procedures
Seven (7) years working experience in similar post, three (3) of which must have come from Senior Level in a reputable institution
