Assistant Nursing Officer II

Duty Station: Arusha
Answerable to Patron
Qualifications

Diploma in Nursing from a recognised Centre/Institution
Holders of National Form Four Examination Certificate
At least three (3) years working experience in related field
Must be computer literate.
Duties & Responsibilities

Nursing care of patients
Administration of medicines and treatment of patients as prescribed by medical practitioners
Understand and solve problems of patients in line with nursing ethics and general nursing services
Performing any other duties relevant to the scope of work that may be assigned by the Patron

Maintenance Technician – Plumber

Answerable to Senior Maintenance Officer
Qualifications and Experience

Holder of Form IV certificate of Secondary Education with Trade Test Grade 1 in Plumbing/National Vocational Award Level III in plumbing.
At least three (3) years working experience in related field
Must be computer literate
Duties & Responsibilities
i. Assist in the maintenance and repair of Centre’s facilities
ii. Assist in monitoring all work being performed by outside contractors
iii.Responsible for 24liour emergency maintenance services
ii. Ensuring inspections of plumbing system in conferences and offices are done according to the laid down procedures
iv. Monitor and maintain all building plumbing systems as assigned
v. Ensure compliance of all work related activities in fair, ethical and consistent manner
vi. Ensuring that maintenance and repair are done properly and professionally
vii. Repair and replace worn out or damaged property
viii. Keeping records for every maintenance and repair works undertaken

Receptionist II 
Answerable to Human Resource& Administrative Officer
Qualifications and Experience

Holder of Form IVNI certificate of Secondary Education with pass in English and Kiswahili who has undergone the Receptionist/Front Office course at a recognized institution
At least three (3) years working experience
Must be computer literate
Duties and Responsibilities
i. Operate and maintain switch board
ii. Monitor ,receive and manage the front desk visitors
iii. Keep visitors register book
iv. Receive and channel incoming telephone calls and internal telephone requests;
v. Direct office visitors to officers in question
vi. Keep telephone call register
vii. Report defective telephone facilities
viii. Perform any duties’ relevant to the scope of work that may be. assigned by Executive Assistant

Records Management Assistant,lI 
Answerable to Human Resource& Administrative Officer
Qualifications and Experience

Holder of Secondary Education of Secondary Education with Certificate in records management or its equivalent from a recognized College/Institution
At least three (3) years working experience
Must be computer literate
Duties and Responsibilities

i. Prepare file Index
ii. Maintain records/ documents in the registry.
iii. Hle.dispatch and cross check correspondences.
iv. Maintain diary and records for files movements.
v. Check and cross check mails, claims and returns.
vi. Receive and register incoming and outgoing mails.
vii. Receive previews, record and facilitate filling and distribute

Human Resource & Administrative Officer Cum Executive Assistant
Answerable to Senior Human Resourceand Administrative Officer.
Qualifications and Experience

Holder of a Bachelor Degree/Advanced Diploma in Public Administration, Business Administration, Human Resources, Management Education, or its equivalent from a recognized University/Institution.
Holder of Ordinary Diploma in Secretarial Services with certificate in Management Development Program for Executive Assistants Level I & II with.
At least five (5) years work experience in a similar position in a reputable organization/institution.
Duties and Responsibilities
i. Responsible for efficient and effective management of human resource matters in the Centre
ii. Implementing the staff regulations and administrative procedures of the Centre.
iii. Implementing changes in personnel policies introduced by management .
iv. Providing information on employees’ benefits entitlement and welfare.
v. Following up implementation of matters arising from performance appraisal interviews.
vi. Responsible for efficient and effective management administrative matters in the Centre
vii. Ensuring that the Centre’s properties are insured and well documented
viii. Ensuring that incoming and outgoing mail are properly handled by the registry
ix. Ensuring that the Centre’s motor vehicles are properly handled and maintained
x. Scheduling and overseeing preventive maintenance of the Centre’s motor vehicles
xi. Typing and word-processing various documents and electronic information
xii. Communicating and providing information by relevant methods internally and externally to assist and enable organizational operations and effective service to connecting groups
xiii. Interpreting instructions and issuesarising, and then implementing actions according to administrative policies and procedures
xiv. Receiving and answering fax/telephone calls/intercoms using a professional and courteous manner and directing them to the appropriate places.
xv. Drafting simple letters and other. correspondence of routine. nature accepting or rejecting invitations, acknowledgements, etc.
xvi. Prepare and facilitate internal meetings, process records of the proceedings and follows up action taken.
xvii. File classified letters and other important documents; retrieve records and correspondences and keeps sensitive material in confidence when required. .

Accounts Officer II 
Answerable to Senior Accounts Officer
Qualifications and Experience

Holder of Bachelor Degree/Advanced Diploma in Accounting, Finance, or its equivalent from a recognized Institution or its equivalent.
At least three (3) years working experience
Must be computer literate
Duties & Responsibilities
i. Handling accounting activities
ii. Advisor to the Chief Accountant in all accounting issues in the Centre.
iii. Ensuring that financial plans and budgets are prepared and submitted to the Chief Accountant well in advance before the end of financial year in order to facilitate approval of the new financial year’s budget by the Centre
iv. Ensuring that books of accounts relating to revenue, expenses and grants are kept accurately and timely according to accounting professional standards established by NBAAfrom time to time.
v. Recommending accounting policies and procedures to the management and ensuring their strict implementation after approval by the Centre
vi. Ensuring that monthly, quarterly and annual financial statements for the Centre are prepared on time
vii. Ensuring that statutory returns and accounting books and ledgers. are maintained according to the accounting professional standards
viii. Making sure that the books of accounts are audited by external auditors’ within the required legal period and presented to the Centre
ix. Answering all internal and external audit queries accurately and on time
x. Implementing sound control systems and procedures of physical property, cash cheques, receipt books and other accountable documents
xi. Proper valuation of closing stock and fixed assets at the end of the financial year
xii. Ensuring that annual stocktaking and stock balancing are undertaken timely
xiii. Ensuring that payment of taxes, salaries, imprests, creditors and statutory contributions is made timely without incurring penalties

Security Officer II (2Posts)
Duty Station: Dar es Salaam and Arusha

Answerable to Senior Human Resourceand Administrative Officer.

Qualifications and Experience

Holders of Bachelor Degree of law or related field from a recognized University/institution and must have undergone Military, Police, prisons or Immigration basic training with knowledge and understanding of procedures, regulations, policies and laws governing security and safety
At least three (3) years working experience
Must be computer literate
Duties & Responsibilities
 i. Ensuring that standard procedures in respect of security and safety of the Centre’s properties, tenants, clients and employees are observed by all parties:

ii. Undertaking annual appraisals of security and safety systems and procedures according to setstandards.
iii. Preparing quarterly and annual security and safety reports.
iv. Maintain security of assetsand properties;
v. Authenticate items coming and going out of premises;
vi. Report to Senior Human Resourceand Administrative Officer of any unusual events that endanger Board’s properties;
vii. Control movement of visitors to and from the premises with the aim of preventing burglary and theft;
viii. Carry out inspection around the premise

Procurement and Logistics Assistant II 
Answerable to Chief Procurement and Logistics Officer
Qualifications and Experience,

Bachelor Degree/Advanced Diploma/Professional level III in Materials Management or Procurement and Logistics Management.
At least Two (2) years proven work experience in a reputable Organization. .
Must be registered by Procurement and Supplies Professionals and Technician Board (PSPTB).
Must be computer literate.
Knowledge of any Procurement/inventory package will be an added advantage
Duties & Responsibilities
i. Handling procurement and supply activities at the Centre
ii. Enforcing approved procurement and stores regulations at the Centre
iii. Preparing budget plans for procurement by estimating and forecasting consumption of materials and services in terms of value and volume
iv. Purchasing supplies and recording of purchases and materials in store
v. Supporting and implementing the functions of the AICC Tender Board
vi. .Assisting user Depts in preparing statements of requirement
vii. Perform Vendor performance evaluation
viii. Preparing contract and other related documents
ix. Preparing Monthly and quarterly procurement report
x. Issuing approved bidding document to the Bidders
xi. Enforcing implementation and control of procurement and budget

Conference Services Officer II
Answerable to Senior Conference Services Officer

Qualifications and Experience

Holder of a Bachelor Degree/Advanced Diploma in Business Administration, Public Relations, lnternatlonalRelations, Sociology, or equivalent from a recognised University/Institution.
At least three (3) years working experience
Must be computer literate
Duties & Responsibilities
i. Assisting the Senior Conference Services Officer in formulating conference services plans and strategies,
ii. Preparing periodic and performance reports,
iii. Issuesand keep records ofequipments and materials and conference halls for invoicing purposes,
iv. Prepare schedules of external meetings and conferences
v. Handling conference bookings and allocation of halls
vi. Planning and organising conference delegates demands

Protocol and Public Relations Officer II 
Qualifications and Experience

Holder of Bachelor Degree or Advanced Diploma in Journalism.Public Relations, Mass Communication, or any degree in Social Sciences with a major in communication from a recognized University/Institution.
At least three (3) years working experience
Must be computer literate
Duties & Responsibilities
i. Creating, maintaining, improving, changing or repairing the corporate image of the Centre
ii. Handling protocol matters at the Centre
iii. Supporting maintenance of a good corporate image of the Centre with regard to development of sustainable congress tourism in Tanzania
iv. Supporting the process of building, managing and maintaining media relations both above and below the line mediums together with the Government and its ministries, agencies, institutions and customers
v. Participating in public relations programmes with particular attention to different policies
vi. Preparing in promotional/advertisement materials concerninq the Centre’s activities within and outside the country
vii. Supportlnq the process of preparing various publications such as; press releases, folders, booklets, flyers, posters, banners and newsletters for enhancing the image of the Centre
viii. Providing support during press conferences and meetings for the Centre’s functions and events upon instructions from the Manager
ix.Examining public opinions on the-Centre’s activities
