Uwezo is a four year initiative that aims to improve competencies in literacy and numeracy among children aged 6-16 years old in Kenya, Tanzania and Uganda, by using an innovative approach to social change that is citizen driven and accountable to the public. Overall Responsibility:
You will support the office to implement its program as well as undertake administrative and management functions. You will coordinate the preparation of weekly and monthly plans within the country and act as a point of contact with the regional office in ensuring timely submission of reports. You will ensure that the calendar of events is developed and adhered to; that all scheduled meetings take place. You will have overall oversight of organizational assets and take charge of logistics. You will keep proper records of HR issues. You will participate in core Uwezo work, including training, assessment and communication.
Specific Responsibilities:
In Program
1. Manage Country office Program activities by organizing meetings, making travel and hotel bookings, sending invitations and preparing materials for meetings; drafting routine correspondence and answering general e-mail and phone inquiries. You will ensure that all scheduled meetings take place: staff, advisory, technical.
2. Provide support in the compilation of reports and publications to the Regional Office;
3. Keep abreast of the Country Program; ensure that activities are implemented as per set calendar;
4. Take minutes for meetings and identify action points during meetings and follow up with concerned parties to ensure that action is taken ;
5. Assist in drafting consultancy contracts, process consultants’ expense reports, and coordinate consultants’ and travel needs
6. Assist in the development of communication materials, including reports, publication materials, presentations
In Administration and Book keeping
1. Ensure compliance to Twaweza financial and administration policies and procedures;
2. Set up and maintain an effective record and filing system for contacts, program activities, correspondence and documents for quick and easy reference;
3. Assist in scheduling appointments for the Country Coordinator;
4. Assist with program financial management, including drafting budgets for key activities;
5. Process bills, payments, staff expense reports, and reimbursement requests;
General Responsibilities:
1. Conduct occasional research and writing assignments on Uwezo in diverse ways supportive to program goals, including internal learning, policy debates, opinion articles; 2. Participate in the Uwezo processes (training, assessment, communication);
3. Undertake the activities above in line with the associated budgets and with work plans, in ways that are consistent with Twaweza policies;
4. Prepare and submit quality and timely plans, budgets and reports ;
5. Keep abreast of new ideas and materials in the area of organizational learning, M&E and communications ;
6. Participate in meetings and sessions and sessions as needed;
7. Undertake any other lawful tasks as may be assigned by your manager or the Head of Twaweza
Core Qualifications
1. A university Degree;
2. At least one year working experience related to your responsibilities;
3. Very good writing skills in English and Kiswahili with keen attention to detail;
4. Good basic knowledge of development and education issues;
5. Strong computer skills and use of database and internet;
6. Excellent organizational, reporting and management skills;
7. Very good time management skills.
