Tanzania Teachers’ Union (TTU), which operates in Tanzania Mainland only, is a registered trade Union that recruits its members from the teaching profession and it has fulltime staff in every Region. In order to improve its services to its members, the Union seeks to recruit dedicated, self motivated, highly committed and well experienced staff to fill the following vacancies based at its headquarters in Dar-Es-Salaam:-
1. Internal Auditor
Report to: General Secretary of Tanzania Teachers’ Union
Overall purpose
To monitor and provide support to all departments on matters related to compliance and regulatory aspects and advising General Secretary on matters related to financial control and optimization of resources. Given the oversight role, the Internal Auditor will have indirect and direct reporting relationship to the National Executive Committee of the Union in relations to internal overall control of the resources.
Duties and Responsibilities
(i) Prepare Annual Audit Plan
• Prepare annual audit plan for the Union including audit programs and time tables
• Identify potential risk areas for various sections of the organization.
• Present audit plan to Senior Management Team of the Union and the Audit Committee.
(ii) Review Accounting System and Related Internal control.
• Review the extent to which the Accounting procedures adopted to safeguard assets, maintaining records and accounting procedures and internal control in order to minimize risk of errors, losses and fraud.
(iii) Conduct Special investigation
• Conducting special audit when requested
(iv) Compliance with statutory requirement review
• Ascertaining that statutory dedications are submitted timely.
• Advising management on specific donors taxation and government requirements.
(v) Preparing of Reports and follow up of external and internal audit recommendation.
• Prepare audit report for each engagement
• Follow up on the implementation of external and general audit reports
Minimum Qualifications and Experience
Education
• A holder of first Degree in Accounting and Finance.
• A registered Auditor by NBAA may be an added advantage
Experience
• Must be registered by the NBAA
5. Supplies Officer (Procurement Officer) Report to: Chief Accountant
Overall purpose
• To facilitate the purchasing of materials in the Union.
Duties and Responsibilities
• Head of procurement management unit
• In consultation with Legal Department, to prepare contracts with all service provides and outsourcing requirements.
• Management of all procurement activities at the Union.
• Preparation of procurement reports as prescribed by Management.
• Representing the organization in Internal and External procurement related meetings.
• Prepare and deliver, purchasing inventory reports, bids proposals requirement documentation and tender documents.
• Assist on developing budget proposals and recommends supplies budget changes as needed.
• Preparations of purchase orders.
• Ensure timely requisition for appropriate insurance for all fixed assets and cash of transit.
Minimum Requirement and Qualifications:
• Bachelor Degree or Advance Diploma and above in procurement and supplies related subjects.
• At least 2 years of experience in procurement Management position.
6. Head of Department- Education and Training Report to: General Secretary of Tanzania Teachers’ Union Overall purpose: To Head the Department of
Education and Training.
Requirement:
• Strictly She/he must be a members of Tanzania Teachers’ Union for a period of not less than ten years.
• Experience on current education challenges
• Experience in management of Trade Union.
Minimum Qualifications and Experiences
• Holder of Masters degree in Education and other related fields.
• Masters degree in Education Policy and Management may be an added advantage.
• High level of computer literacy.
• Minimum experience of five years working in similar job.
• Fluency in English and Kiswahili.
• Good leadership and communications skills.
• Employee of TTU with qualification may also apply for the post.
Duties and Responsibility added advantage
Experience
• At least five years of working experience on similar job.
• Competent in auditing and management accounting
• Have skills in investigative auditing and strong analytical skills.
• Self motivated, enthusiastic, ability to work under pressure, assertive and forward thinker.
• Skills on the use of IT for the accounting package is an added advantage
3. Assistant Internal Auditor Report to: Internal Auditor
Overall purpose
The incumbent will assist in monitoring internal finance and administrative control system so as to make sure that all Unions resources are used as provided for in Rules and Regulations.
Duties and Responsibilities are to:-
• Assist the review of existing internal control and procedures.
• Assess compliance to policies, procedures and regulations.
• Assist in the evaluation and improvement risk management.
• Detect incidences of fraud and non compliance and their prevention.
• Assist in writing internal auditing report and sharing with GS and Board of Directors.
Minimum Qualifications and Experience
Education
• A holder of Advanced Diploma in Accounting
Experience
• At least three years of working experience on similar job
• Computer literate
4. Accountants
Report to: Chief Accountant
Overall purpose
To provide technical financial management support to the program as per Trade Union policies, standards and procedures.
Duties and Responsibilities
• Participate in Union decision making of a team and ensure that financial resources are optimally used for the benefit of plan for members and employees activities.
• Review payment packages for budgets availability and correct coding.
• Review cash disbursement vouchers, purchase requisitions and orders.
• Monitor budget versus expenditures and ensure timely processing and disbursement of payments to legitimate suppliers.
• Prepare the work plan and budget in coordination with the General Secretary and make sure that all expenditures are according to work plan and budget.
• Mange general ledger according to the system
• Ensure adherence to financial control, processes and procedures.
• Follow up finance related audit actions and participate in Quarterly physical asset and inventory verification.
• Coordinate and ensure availability of all documents during auditing.
Minimum Qualification and Experience
• Advance Diploma or Bachelor degree in accounting
• 203 years experience in a similar job
• Proficient in computer skills and use of relevant accounting packages
Duties and Responsibility
• Planning and coordinating all duties concerning with education and training in the Union
• Preparing training manual for employees and member of the union.
• Providing technical advice and training development.
7. Assistant Registry (Records Management/Clerical officer). Minimum Qualification and Experience
Overall purpose: To Manage the Union Registry in a modern way of Registry keeping.
Education
• Holder of an Advanced certificate of Secondary Education.
• A Diploma in Record Management or equivalent qualification from recognized institution.
• Ability to use computer for the record keeping.
Experience
• Working experience of not less than five years in a similar field in a reputable organization.
Duties and Responsibilities
• Maintain files movements record cards
• Look for files and collect them whenever required
• Return files to the cabinets and arrange them in proper order
• Keep ready files marked B.U.A for the supervisor weed out inactive files i.e old closed volumes, files for people who have died, resigned, retired and those who have been dismissed or terminated.
• Clack file in the cabinets periodically and ensures order and neatness.
• Perform any other duties as may be assigned by one’s reporting office.
