The Program Coordinator will provide backstopping and administrative support to the New Program Development Team (NPD). This includes providing support in proposal development, production and post-award activities for all donors. The Coordinator will also search new program opportunities, coordinate meeting agendas and calendars, conduct weekly reporting, manage and maintain office supply inventory. |
Provide administrative support, including coordinating meetings, compiling and disseminating agendas for staff meetings, managing correspondence, ordering supplies, photocopying and other general support as needed Process pre-teaming, teaming and consulting agreements Update and improve electronic filing storage and systems Prepare bi-weekly tracker reports and quarterly department reports for leadership Support updating, improved storage and access of key reference documents among NPD staff, including: CV’s, PPRs, capes, contact list and proposal content - Draft documents and reports including generating graphs and tables for presentations
- Draft (from templates), route and track contractual documents
- Support research and analysis of donor information, potential partners and competitors
- Search online for near- and far-term program opportunities
- Maintain proposal status data and produce reports
- Maintain business intelligence information for easy access
- Track proposal and grant websites and disseminate new opportunities to Jhpiego staff
- Identify, highlight and disseminate critical information for reviewers
- Compile and/or synthesize input to bid/no-bid decisions
- Act as staffing coordinator, in support of Proposal Manager or Proposal Officer, setting up interviews with staffing candidates
- Support less complex leads development initiatives
- In collaboration with program and technical staff, draft and edit Jhpiego capability statements and past performance references
- Format and copy edit text
- Manage production of proposal submissions, assuring on-time delivery of all documents
- Maintain updated central information for team
- Nurture team working relationships and liaise with other Jhpiego departments as needed

- BA with 3+ years administrative experience
- Understanding of administrative processes and approaches
- Strong organizational, presentation and verbal and written communications skills
- Demonstrated ability to work in fast-paced, complex environment with multiple tasks and short deadlines
- Proficiency in MS Office
- Aware of and sensitive to working in multiple socio-economic settings and with multi-cultural groups in a developing country environment
- Demonstrated self-management (i.e., motivation, dealing with pressure and adaptability)
- Strong decision making skills and results oriented approach
- Ability to interact skillfully and diplomatically with numerous counterparts, both domestically and internationally
- Comfortable with a team approach to programming
