AWF is seeking a highly motivated individual to provide administrative, logistical, and financial support for its Manyara Ranch operations. Reporting to the Conservancy Manager, the successful candidate will ensure strict adherence to internal controls, donor guidelines, proper record keeping, and efficient administration.
Key Responsibilities
Reporting to the Conservancy Manager, the successful candidate will ensure strict adherence to internal controls, donor guidelines, proper record keeping and efficient administration. Operationally this will entail accurate compilation of the Ranch’s financial activity for daily posting into the financial system and generating transactional reports periodically for management, compliance in filing and reporting of all statutory and regulatory returns related to Manyara Ranch, preparing ranch inventory activity and balance reports on a monthly basis, managing petty cash, and overseeing costs and advances relating to employee travel and workshops. As needed, work with relevant teams in assisting the program in the interpretation and implementation of financial policies and budget plans, ensuring proper upkeep of office, equipment, vehicles and other facilities while providing day to day financial, administrative, and logistical support to the program. Working with Procurement team, conduct annual prequalification process for regular vendors and timely procurements. With AWF’s Budget and Grants team, ensure that work plans accurately time-phase budgets on an accrual basis, and that all administrative responsibilities of staff (timesheets, credit card reconciliations, and approvals) are completed in advance of travel. Work with the Treasury team to manage cash position by ensuring Ranch bank accounts have adequate funds to maintain smooth operations and timely payment to vendors, maintain up-to-date accounts payable and receivable balances and timely payment to vendors, and by requesting cash whenever needed and well in advance of required payment dates. Ensure that Treasury team is aware of upcoming large payments. At the direction of the Procurement team, assist in higher value purchases with local vendors. Review expense reports critically against travel calendar to ensure that costs are legitimate and compliant with AWF and donor travel rules. Ensure that staff advances are provided timely and closed by staff upon return. Collect receipts/supporting documentation from staff; maintain supporting documentation for audit purposes.
This position will be based in Manyara Ranch, Tanzania.
The successful candidate will:
- Have a Bachelor’s degree or equivalent; accounting certification preferred
- Have at least 2 years’ experience in a busy finance office, preferably an NGO
- Be proficient in Microsoft Office and other computer applications
- Be familiar with accounting packages and government regulations such as taxation requirements and statutory related matters
- Have experience with Livestock/Farm Accounting, Inventory Maintenance (preferred)
- Have excellent interpersonal skills and ability to establish and maintain effective working relations with people in a multi-cultural and multi-ethnic environment. Sensitivity and respect for diversity will be essential for maintaining working relationships with institutional officials and vendors.
- Be fluent in written English and Kiswahili.
