Job Description:
·
Open a file when a new shipment arrive, same should have Our file number,
forwarders reference and invoice number as customers reference
·
Making sure you receive all the relevant documents from the client e.g Bill of
lading or Airway bill, commercial Invoice or Final Invoice , packing list,
Certificate of origin, Insurance policy cover note, TIN number and TIC
certificate if required.
·
Keep all the relevant documents received from the client and forward same
to the forwarder advised by your manager for the forwarder to start
documentation process
·
Processing of Import duty and or VAT exemption if applicable
·
Processing of Chemical permits, PVOC, TBS certificates, Atomic if required
·
Utilising e-commerce, internet technology and satellite systems to enable
real-time tracking of goods
·
Arranging payment of freight and other charges or collection of payment on
client’s behalf
·
Working closely with customers, colleagues and third parties (forwarders) to
ensure smooth operations to deadlines
Competencies:
·
Communication – Good verbal and written communications skills in in both
Swahili & English. Good knowledge in Microsoft Word, Power Point and Excel;
·
Professionalism – Knowledge and understanding of functions and
organization of the HWL activities, relevant operational and administrative
policies, practice and procedures, including records managements/filing
procedures.
·
Planning and organizing – Effective time management and ability to
prioritize and plan own work to meet designated deadlines.
·
Technological Awareness – Good Computer proficiency.
·
Teamwork – Very good interpersonal skills, ability to work in a
multi-cultural, multi-ethnic environment with sensitivity and respect
diversity.
Qualifications:
Education: Knowledge in Clearing & Forwarding Industry
Work Experience: This will be an added advantage , work experience
related to administrative support, logistics and operations management; ability
to apply good judgment in the context of assignments; ability to recognise and
act in the face of conflicting priorities, possessing a sense of
responsibility, self-motivation and ability to work with minimal supervision;
aptitude and willingness to learn new skills; ability to work in a team
environment and to work under pressure in a multi-tasking environment; ability
to apply initiative and pro-active spirit. Formal training or education and/or
experience in Administration is highly desirable.
Languages: Fluency
in written and spoken English/Swahili.
