PURPOSE OF THE POSITION:
Provide skills in performing complex and difficult tasks in managing CRS property in order to give general property managerial support for the operation of the CRS South Sudan Program, as a supportive member of the multi-cultural Management Quality team.
KEY RESPONSIBILITIES
• Conduct Physical Inventory Each Year – Use Property Inventory Sheet for the office location to verify the location and condition of equipment during the last quarter of the FISCAL year.
• Visually find and verify, Identify and Not, Print and sign and Generate Fiscal Year End Inventory Sheet.
• Regularly Update the Inventory Spreadsheet for RECEIVE/ADD Property and Materials (Receive and sign the Transmittal Note (TN), Receive Property Registry Form for new nonexpendable property, Update Inventory Spreadsheet, and Complete Mobile Property Tracking Form.
• TRANSFER/DISPLACE Property and Materials – Property transfers must be well documented; for TRANSFERS TO OTHER OFFICES, FOR TRANSFERS FROM OTHER OFFICES and FOR PROPERTY DISPOSITION – Lost, Stolen, Donated, Sold.
• Send Updated Inventory Spreadsheet to Central Office Administrator – Every three months, forward the Inventory Spreadsheet and Support documents for transfers and removals to the Central Office Administrator.
• Specific tasks will be found at ANEX 10 (Task List for Property Administrator).
• Other duties as assigned by Administration Manager and within scope of general responsibilities.
Qualifications/Experience
Diploma in administration/management or Logistics or related field from an accredited College or University.
Two years of progressive experience in property/assets management, inventory, storage systems within a complex organizational structure.
Good interpersonal skills and ability to interact effectively with staff, vendors, outside agencies, general public, government officials
Ability to work with a multicultural team
Good communication skills including the ability to make clear and concise presentations.
Ability to make sound decisions in a manner consistent with the essential job functions.
Ability to operate assigned equipment and write reports
Excellent computer skills (MS Word, Excel).
