MS TCDC , Head of Front Office Section

MS TCDC is looking for a competent, self driven professional to take the position of Head of Front Office Section.

MS Training Centre for Development Cooperation (MS TCDC), located in Usa River near Arusha, was established in 1976 to prepare Danish volunteers to work in East and Southern Africa. We provide training management support to our global partners from civil society (national and international NGOs), government, development partners, and progressive private sector. Our main geographical focus is Sub-Saharan Africa but increasingly also other global locations. We are looking for a competent, self driven professional to take the position of Head of Front Office Section.

Head of Front Office Section

The Head of Front Office Section reports directly to the Head of Catering and Front Office Department. The purpose of the position is to manage the functions of the Front Office in order to achieve its objectives of providing a service of high standard for MS-TCDC customers, staff and other users and to facilitate linkage with Kitchen, Housekeeping House and other Sections/Departments.

1. Ensure maximum service quality delivery to international standards of Reception and Front Office.

• Supervising all Receptions as well as Office Attendants.
• Preparation of annual work plans collaboration with the Head of Department.
• Prepare and hold staff talks together with the Head of Department.
• Prepare and develop staff training plans in Front Office Section and presents it to the Head of Department.
• Organize quarterly section meetings together with the Head of Department.

2. Professional responsibilities:

• The Head of Front Office Section is responsible for ensuring the smooth running of the Reception including the duties of the Office Attendants.
• Make all arrangement regarding air travel of MS TCDC Staff, and Course Participants.
• To make sure incoming mail folder is checked, mail distributed and incoming cheques are registered.
• Make sure all outgoing mail handled and dispatched promptly to requirement.
• To make sure messages are received and forwarded to/from various offices.
• To make sure faxes are delivered promptly to receiver.
• Make all the arrangement regarding arrivals and departures of all course/workshop Participants and other Guests visiting the Centre.
• Responsible for keeping a reasonable stock level of stationary items for administration use at front store.
• To act as standby secretary for management committee meetings secretary.
• To handle all Guest complains and answer their inquiries.
• To assist in the marketing activities of the Centre providing information on the Centre’s training programmes and other services.
• To administer safe deposits of the safe in the reception according to guidelines.
• To relay Course Participants transport request to Transport Officer, and to assist transport office in the updating booking list when needed.

Candidate Profile

• A Diploma or Degree in Business Administration, Hotel Management or a related discipline from accredited institution.
• A minimum of three (3) years working experience with International Organizations/Five star Hotels in Front Office operation.

Attributes and key skills  

• Strong communication skills and fluent in English and Swahili, both verbal and written. Any other language skills are considered an asset.
• High level of cross-cultural skills and flexibility to work in a multi-disciplinary and multi-cultural team.
• Excellent computer skills and experience with Navision is considered a strong asset.
• Service oriented, professional demeanor and congenial nature.
• Sensitive to the Guests' needs and possesses a sense of humor.
• Supervisory skills, flexibility and well groomed appearance.

Terms and conditions

The position will be based at the MS TCDC training centre in Arusha. The position is offered under Action Aid International’s International/National terms and conditions typical for regional profiles with a fixed term contract of five (5) years with the possibility of extension depending on the future programmatic focus and programmatic needs of MS TCDC.
