During the last 19 years, WfWI has transformed the lives of more than 317,000 socially-excluded women and distributed over $103 million in direct aid and microcredit loans, benefiting more than 1.7 million family and community members in the process. In 2011, over 78,549 women in all eight countries received program services, with more than 40,000 sponsors from 94 countries across the world. WfWI has over 600 employees worldwide, and each of our country offices are fully staffed by women and men from the local community.
Purpose
Sponsorship Operations Department manages the delivery of sponsorship of one woman at a time and drives revenue through recurring contributions. The department relies heavily on team members’ service-oriented attitude, technology and metrics to drive efficiency, quality and performance. As part of the Sponsorship Operations Team, the Operations Officer for Communication Delivery will report directly to Sponsorship Operations Manager and be a key member of executing high quality communication and services to our supporters and continuously improving towards efficient business operations while making the sponsorship experience as engaging as possible.
Duties and Responsibilities
Communication Execution 1. Execute scheduled communication calendar to supporters by preparing data and utilizing mass email system (Bluehornet) and customized mail merge system.
2. Work with CIO and Sponsorship Operations Manger to manage projects and roll out campaigns such as conversion to paperless account. Continuously improve and maintain cost efficiency of communications. 3. Test and quality control information displayed at supporters’ online account area. Manage admin tool and provide support to the customer services team.
4. Track and improve communication delivery metrics, such as on timeliness and accuracy of delivery and email bounce-back rate, to delivery communication that is both cost-effective and sponsor satisfaction oriented. 5. Manage efficient letter exchange between sponsors and program participants, including supervising volunteers and assistants. 6. Work with field offices to obtain materials needed for regular communication stream, such as updates on individual program participants and group class photo. Manage system to store such materials in an efficient and retrievable fashion. 7. Create business procedures and manage vendor services to optimize contact information (address, phone, email) of our supporters. 8. Manage paper materials inventory.
9. Schedule and supervise manual work to carry out paper communications to sponsors 10. Generate special Sponsorship communication packages as needed.
Operations Team Support 1. Manage communication and supporter service applications: quality control, trouble shoot and escalate problems. Identify opportunities to improve operations efficiency, and work with IT team to shape requirements and perform user acceptance testing.
2. Prepare regular internal report within area of responsibility 3. Oversee volunteer night once a month. 4. Provide back-up to Operations colleagues as requested, such as data entry, membership account updates, letter processing. 5. Participate in special projects as needed.
Skills and Qualifications •Bachelor’s degree or higher in Business Management related fields •Entry level position with 1-2 years of comparable experience within a development operations or membership services environment •Excellent computer skills with MS Word and Excel; familiarity with other CRM and fundraising applications a plus. •Demonstrated aptitude for analyzing and interpreting data and systems; ability to identify areas to increase efficiency a plus. •Proven ability to plan and manage a variety of projects and high work volume: must work well under pressure, prioritize, show flexibility, and solve problems creatively •Must be willing/able to take on tasks with minimal supervision •Excellent organizational skills and detail oriented •Strong oral and written communication skills. •Sound and fair judgment. Highly professional attitude towards supporters.
