DESCRIPTION
The NRGI seeks an office manager to assist the team with programmatic needs and oversee administration of the NRGI Country office in Dar es Salaam, Tanzania. The Program Assistant is responsible for ensuring smooth operations within the office while upholding the institution’s mission and vision and adhering to its set standards. S/he will be in charge of setting up the NRGI Tanzania office, will provide general programming support to the Regional Manager- East and Southern Africa and Tanzania team, overseeing day-to-day human resources and liaise with designated staff of host partner's Finance personnel handling NRGI finances.
RESPONSIBILITIES
The Program Assistant must be highly organized, capable of multi- tasking and be available to perform duties for multiple staff both direct service and managerial. Requires excellent computer skills in order to run necessary reports, manage monthly reports and data, update forms and documents. Set up equipment for presentations. The Program Assistant will also assist staff with some minor tech support, preparation of documents and verification of information.
Specific Duties:
I. Programming
- Assist the team with country related programs management, keeping track of reporting schedules, updating the team's quarterly work plans; managing logistics for programmatic events - training workshops, meetings and engagements and staff travels.
- Conduct research on venues and service companies, submit applications for use of space, draft budgets, negotiate venue and vendor agreements, liaise with management on planning and agenda issues, handle all travels, hotel and other logistical issues related to meetings. Receive and verify all related invoices, request and ensure all related payments are remitted.
- Act as communications focal person for Tanzania team. Coordinating communications outputs including interviews and blogs from NRGI funded or participating activities in Tanzania
II. Human Resources and Financial Management
- Introduce new employees to the organizational policies, procedures and other regulations of the work place,
- Maintain leave record for country office staff - Leave Roster and day spent.
- Liaise with Finance and Administration office of the host partner to ensure the maintenance of a working environment that yields productivity and furnishes essential office supplies.
- Support financial management- verifying invoices charged on NRGI, proper coding of expenses and maintaining a mirror account for all NRGI expenses.
- Process monthly expense reports for reimbursements
III. General Office and Facilities Administration
- General administrative support as required.
- Assist with scheduling travel and visas.
- Assist with scheduling meetings and conference calls.
- Taking notes and drafting reports at meetings.
QUALIFICATIONS
- Minimum of three years of experience in a professional administrative management capacity – human resources, finance, and/or facilities management experience strongly preferred.
- Strong fluency in Microsoft Word, Excel and PowerPoint, knowledge of Access or other data management software is a plus.
- Bachelor’s degree or equivalent.
- Excellent English and Kiswahili -language writing and editing ability; Experience working and interacting with multi-disciplinary and multicultural personnel a plus.
- Ability to effectively manage multiple projects in a fast-paced environment, and prioritize appropriately.
- Excellent organizational skills and strong attention to detail.
- Ability to work both independently and collaborate with others.
- Integrity, professional discretion, and ability to handle confidential matters.
Compensation: Commensurate with experience.
Work Hours: Full-time position, approximately 40 hours a week
Start Date and duration: As soon as possible.
