The International Rescue Committee
(IRC) IRC Tanzania is present in the Kigoma Region, Northwestern Tanzania, providing
services in Nyarugusu refugee camp in Kasulu District, in Nduta in Kibondo
District and at a transit centre in Kigoma town. Approximately 160,000 Burundian and Congolese
refugees, the vast majority from Burundi receive protection and basic assistance
in the areas of Child and Youth Protection and Development, Community based
rehabilitation for persons with disabilities and special needs, and Gender
based violence / Women’s protection and empowerment (WPE).
IRC seeks to recruit qualified,
energetic and committed candidates to fill the following position:
Position: Admin Officer (2)
Location: Kibondo - Kigoma
Reporting to: Senior Operation Manager

KEY RESPONSIBILITIES
- Responsible for
maintaining, updating and archiving employee personnel files.
- Oversee mail pouch
transmissions and documentation; ensure proper flow between Kibondo and
other field offices.
- Keeping, tracking and updating National staff leave database, ED’s, Maternity leave and Attendance sheets training on weekly bases
- Responsible for orienting all new staff on IRC National Personnel Policies, the IRC way, Mandatory reporting Procedures (MRP’s), Perform Management Evaluation, on how to set objective and provide JD’s to every new staff
- Ensure proper recruitment of National staff by following the recruitment procedures
- Ensure to organize transport with
collaboration with Supply chain department on new staff going to report to
Nduta/Mtendeli IRC National staff compounds
- Ensure to work and produce monthly report every 1st of the following month and send to senior operations Manager
- Ensure timely submission of
monthly timesheets and updating the database for timesheets
- Responsible with the
flow of files and documentation from internal departments; make sure all
documentation is arranged and filed properly.
- Responsible for monitoring
stationery levels regularly and process the ordering needs; following up
on stationery orders and delivery.
- Ensure various administrative
forms are available at the administration pigeon hall
- Coordinate with
supervisor on any issue raised and requires advice; coordinate with staff
of the other departments to ensure administrative rules, regulations and
procedures of IRC are followed at all times.
- Assist in coordination
of flight and hotel booking for staff and visitors.
- Print and distribute
monthly salary slips for staff
EDUCATION and/or EXPERIENCE
- Diploma or degree in
administration/HR or social work/sciences.
- Two years experience in
office related duties
- Strong written and oral
English language skills
- Strong organizational and
computer skills, particularly with Word and Excel
