Description This role will support the Programme Director in the management of the Programme and its constituent projects. The APM will have broad responsibility for ensuring the Programme follows best practise in its programme and project management, ensuring programme information is managed and disseminated appropriately, and providing hands on delivery support. The main responsibilities are summarised below: • Supporting regular and ad-hoc Leadership Team meetings and conference calls. This includes arranging appointments, Webexes and venues, compiling agendas, collecting and distributing meeting documents, drafting minutes, and drafting and chasing actions lists. • Creating weekly and monthly reports using inputs from project managers, ensuring coherent, accurate and well presented reports are produced by the Programme • Tracking Programme and project budgets, working with Finance to ensure the Programme Director is up to date on a view of forecast spend for the year. Raising Purchase Orders and monitoring travel and other expenditure • Support the Programme Director and Business Lead in meeting the schedule for annual business planning. Working with the Project Managers to ensure all project plans are in place, and carrying out quality assurance checks • Leading on the maintenance of Programme information on Infocentre2 (our information database for our members) for the Programme. Being responsible for good organisation of Programme and project documents on the shared drive and on Infocentre2. Ensuring Infocentre2 pages are up to date and reflect the structure of the Programme. Working with the Programme Co-ordinators to ensure all Programme and project meetings are announced on the Infocentre with as much advance notice as possible, and that meeting documents are uploaded correctly. • Maintaining an Issues and Risks log for the Programme, and tracking and chasing the associated actions • Maintaining a team organisation chart and ensuring new team members are appropriately inducted to the team and to GSMA processes | ||
Context This role is working in one of the major strategic programmes of the GSMA – Future Communications. The Future Communications Programme has grown out of GSMA’s Rich Communications Programme, which has been running for about 2 years. This year’s budget is around £3million. There are 3 sub-projects and a sub-programme within the whole programme. We have about 20 staff and contractors working within GSMA on the programme, including Project Managers, Marketers and Technical Specialists. There is a much larger number of ecosystem partners also contributing to the programme. | ||
Criteria • Significant experience in an IT or Telecommunications environment • Demonstrable project experience, working as project analyst, PMO etc, with solid understanding of project management theory • Experience of working in an international environment, and in virtual teams • Enthusiastic, intelligent graduate, keen to develop their career and learn about GSMA’s programmes. • Good skills in producing high quality powerpoint presentations, with a flair for laying out information clearly • Good eye for detail • Solid experience with excel and word • Good relationship management skills – able to get inputs from team members for a deadline • Able to facilitate meetings – eg planning, steering committees, lessons learned, peer review • Organised and able to manage multiple priorities • Strong initiative, able to follow through delivery of work without step by step instruction • Experience of project/programme budget tracking | ||
