CWP Programme Administrator

The Mvula Trust is seeking a person with strong project administration, data management and coordination skills and experience to offer support to the Community Work Programme (CWP) of the Department of Cooperative Governance (DCoG), reporting to the CWP Programme Manager.
Primary responsibilities:
- Provide assistance in the compilation of programme documentation, including work plans, progress reports, PowerPoint presentations and other relevant documents as may be required
- Assist in tracking and reporting programme progress, including milestone summary, key issues, and change and risk log
- Set up and maintain manual and electronic filing systems for the programme
- Assist in scheduling meetings and workshops upon request
- Disseminate information on the programme as and when necessary to relevant stakeholders
- Distribute status and progress reports to all relevant stakeholders
- Ensure the completeness and quality of documentation, as per agreed formats and templates, and request additional information where appropriate
- Develop and maintain databases and a project documentation library on behalf of the team
- Compile and maintain an up-to-date list of all programme resources, consultants and contractors
- Assist the Programme Manager in collating, verifying and submitting invoices in the prescribed format to the Finance Department
- Assist with the compilation of proposals/tender documents, ie ensuring that all relevant information/documentation is available
- Keep an up-to-date record of important dates on behalf of the team.
Requirements:
- A Matric (Grade 12). A National Diploma or degree in a relevant field would be an added advantage
- At least 2 years’ working experience within a small or medium-sized organisation, performing a similar role
- Practical, hands-on administrative experience
- Excellent verbal and written communication skills, including report writing
- Excellent computer skills including MS Project, Word, Excel, and PowerPoint
- Excellent time management skills
- Problem solving and analytical skills
- Planning and organising skills
- Attention to detail
- Strong self-motivation and a flexible team orientation
- The ability to interact effectively with others and good interpersonal skills
- The ability to work on multiple tasks and reprioritise work in response to urgent requests
- Proactive and resourceful in support of the team, and the ability to remain calm under pressure.
