Duty Station: -Dar es Salaam, Tanzania
Supervisory Responsibilities:
· None. However, will play coordinating role across all departments

Principal Accountability:
Overall responsibility for managing the office of the Managing Director and liaising with senior management team members and other staff across the business
Key Duties:
· Issuing notices and other communications on behalf of the Managing Director
· Playing a liaison role for the Managing Director on various levels, e.g. follow up on agreed actions, getting the work done, coordinating various tasks requiring the Senior Management Team [SMT] action.
· Assisting the Managing Director in the preparation of correspondence, memoranda, and reports
· Do basic analysis of specific projects and present summary reports to the Managing Director for information or approval
· Assist the Managing Director in preparing for and organizing Board of Directors meetings and other important meetings.
· Play a coordinating role in the preparation of Board papers and ensure the Pack is free of material omission and minor errors and is well bound.
· Gathering information from relevant departments and creating presentation slides including graphics to facilitate the Managing Director’s presentation at various meetings.
· Taking minutes and producing report for the SMT meeting and any other meeting attended or conducted by the Managing Director
· Assisting the SMT in compiling Monthly Report Pack (MRP)
· Booking travel and accommodation for company executives and company visitors
· Maintaining manual & electronic files of the company’s documents.
· Maintaining a diary for the Managing Director
· Receiving and routing correspondence, request for action to relevant departmental heads.
· Preparation of company corporate events in collaboration with Marketing and PR Department
· Playing a public relations role for the Managing Director’s office
Key Performance Indicators:
· Timely production of minutes and reports
· Accuracy of reports
· 100% satisfaction in terms of logistical support to SMT members
Business Skills and Experience:
· Minimum three years experience in similar position
· Strong experience in commercial driven business
· Strong IT application skills
· Strong report writing skills
· Fluent in English and Kiswahili
Education:
· Bachelors degree from a reputable university or Advance diploma coupled with hands on experience in assisting company executives

· Ability to work independently and able to identify resources needed to get the work done
· Ability to work under instructions and make use of valuable contacts
· Excellent organizational skills
· Ability to work under pressure and with minimum supervision
