A one year fixed term position as a Corporate Services Assistant within the Corporate Services Benelux team in Brussels has become available. Our Office provides corporate services to the FCO’s Diplomatic Missions in Brussels. This includes management of office accommodation and provision of residential accommodation for staff posted to work in Brussels. The majority of the estate management services at this Post are provided by a contracted-in Facilities Management team, overseen by the FCO’s Regional Facilities Manager. Corporate Services Benelux (CSB) is looking for a corporate services assistant to work alongside the Regional Manager and the FM team to ensure delivery of FM services to the FCO’s Missions and staff in Brussels.
At the same time we are looking to reinforce our procurement capability. The successful candidate will work with CSB’s Finance Manager to deliver savings for the FCO in Brussels through better tendering and contract management, particularly for utilities and telecommunications services.
The successful candidate will:
- Be well organised and clear thinking;
- Have drive and resilience to see a job through, good judgment, common sense and problem solving skills;
- Be an excellent oral and written communicator with strong team working skills and the ability to deal with a wide range of stakeholders;
- Have previous experience of budgets, contracts and procurement;
- Good IT skills: MS office, including Excel and Powerpoint;
Experience in estate or building management is an advantage, as are French and Dutch language skills.
Duties and responsibilities
Estates work:
- Communicating and explaining FM procedures to staff at Post, supporting them in using the helpdesk system.
- Troubleshooting where needed to ensure good FM service delivery, raising any issues with the Regional Facilities Manager and FM team.
- Formulating, updating and communicating Post’s policy on staff accommodation and furnishings, working in partnership with the Finance Manager and Post Management.
- Working with the Finance Manager to monitor Post’s estate related budgets, chasing up on financial approvals as needed.
Procurement work:
- Assisting the Finance Manager in running procurement tender processes for the award of local contracts, with particular emphasis on improved procurement of utilities and telecommunications providers.
This position will be filled on a one year fixed term contract.
Gross Monthly Salary: €2241.27 per month.
