Job Description (Duties):

Job Summary:

To provide support to the Deputy Executive Director - Programmes in delivering his/her mandate in ASARECA.

Duties and Responsibilities:

  • Receive periodic reports from stakeholders, review and provide feedback on the quality of the reports.
  • Prepare draft synthesis reports, drafts of contract agreements and letters of requests for services.
  • Assist in developing request for proposal/research calls and send them out, receive applications and prepare the evaluation forms that are used for selection.
  • Receive and Respond to inquiries from different stakeholders pertaining to programme work.
  • Coordinates workshop duties/activities i.e. drawing up a list of invitees, preparing the workshop budgets, drafting invitation letters, repertoire, compiling workshop publication, facilitation, etc.
  • Receive and follow up of the sub-grant financial accountabilities and forward them to finance.
  • Prepare a periodic news letter that is distributed to over 800 stakeholders and provide articles to be posted onto the website.
  • Prepare annual work plans and budget for the program.
  • Assist in consolidating programme technical reports into the corporate annual report.
  • Consolidate programme work plans into corporate work plans.
  • Assist in preparing publications for scientific conferences.
  • Monitoring and evaluation of project implementation.
  • Organise in-house planning meetings.
  • Taking record of minutes for meetings and ensuring actions are implemented.
  • Attending , participating and reporting back on meetings designated by the Deputy Executive Director – Programmes.
  • Maintain regular communication with project implementers and provide guidance as, when and where necessary.
  • Assisting the Deputy Executive Director - Programmes and other Programme managers on any other duties that arise .
  • Provides guidance to the Administrative Assistant .
  • The jobholder carries out formal training to about 30 NARI Staff.

Necessary Qualifications:
  • Masters Degree preferably in Science (Agriculture, Economics or related field)
  • At least 3 years in a research and/or agricultural oriented organisation in middle-level management
  • IT skills

  • Documentation skills (Writing, photography)
  • Ability to work under pressure

  • Job holder is required to solve the following;
  • Going through an interpreter to communicate to stakeholders who are French speaking.

  • Understanding of conceptual appreciation of regional agricultural issues

Jobholder is required to demonstrate creativity in the following areas;
  • Newsletter i.e. looking out for policy issues in newspapers, internet, etc
  • Logical flow of minutes and reports.

  • Be diplomatic when communicating to stakeholders
  • Provide detailed advice to Sub-Grantees
  • Negotiate
  • Represent the interest of the programme and organization in meetings designated to the programme
