STAFF VACANCY
A full time vacancy will shortly arise for an Officer as Assistant to the Permanent Representative (PR) at UKREP. The job will involve supporting the PR as part of the PR’s private office. MAIN ROLE
The successful applicant will support the Permanent Representative and his private office in the following functions:
- Personal support for PR: managing all aspects of his diary, setting up meetings, organising his transport and travel, information flows and retrieval, document creation, personal typing and other business needs.
- Office Management: managing the PR’s finance (expenses claims, invoices), managing the office filing system, preparing the PR’s daily briefing packs, answering external calls and working closely with the Assistants to the Deputy PR and PSC Ambassador.
- Official Entertainment: Lead on the organisation and delivery of the PR’s entertainment especially for external functions for the PR to host, be the first point of contact with the staff in the PR’s Residence.
- Support the PR’s Private Secretary: Commissioning and coordinating briefing, printing papers and preparing briefing packs, liaising with the private offices of the PR’s key interlocutors.
- Undertaking Specific Projects: research and information gathering, supporting PR (and top management team where appropriate) in delivering personal and corporate leadership initiatives.
- Flexibility: On occasion the post holder may be asked to work outside conditioned hours.
Skills required
A high standard of efficiency, self-motivation and resilience, and a sense of humour, is necessary to perform effectively in this post where deadlines for action are frequently short and pressures on colleagues high.
Essential
- Excellent organisational and office management skills;
- Excellent interpersonal skills – including the ability to be firm with colleagues whilst retaining respect;
- Team working skills and willingness to “muck in”;
- Excellent typing skills;
- Good IT (Microsoft Office and Outlook) skills;
- Straightforward drafting skills;
- Ability to think ahead, think strategically and act on own initiative;
- Discretion and good judgement;
- Fluent written and spoken English.
Desirable
- Previous experience of successful office management;
- Experience of co-ordinating and managing projects;
- Experience of dealing with senior people;
- Experience of budget management;
- Practical spoken French (or the prospect of achieving this quickly);
- Basic knowledge of FCO systems and corporate operations.
This position will be filled on a fixed term contract.
Gross monthly salary: € 2286.10
