BACKGROUND
The IUCN World Conservation Congress is the world’s largest and most important conservation event. Held every four years, the Congress aims to improve how we manage our natural environment for human, social and economic development.
The 2012 World Conservation Congress will be held from 6 to 15 September 2012 in Jeju, Republic of Korea. Leaders from government, the public sector, non-governmental organizations, business, UN agencies and social organizations will discuss, debate and decide solutions for the world’s most pressing environment and development issues.
We are seeking to recruit two Logistics Trainees who will assist the Congress Logistics Officer in ensuring timely delivery and exercising quality control of most of the logistical arrangements before and during the IUCN World Conservation Congress. The Logistics Trainee positions are funded from the Congress special reserve and the gross monthly salary is CHF 3'300, subject to deductions for social security contributions and second-pillar pension, and before tax.
Applications are encouraged from locally-based candidates with an existing work permit for Switzerland, or Swiss or EU nationality.
SPECIFIC DUTIES AND RESPONSIBILITIES
1. Before Congress
- Assist the Congress Logistics Officer in liaising with the Korean Organizing Committee, Jeju Promotion Office, the International Convention Centre (ICC) and the Professional Congress Organizer (PCO) for the identification, management and implementation of logistical aspects linked to:
- registration
- hotels
- infrastructure and equipment
- meeting rooms
- exhibition
- social events
- transportation
- food and beverage
- signage
- freight, etc.
- Assist the Congress Logistics Officer on a daily basis and ensure smooth delivery of logistical tasks by the PCO within its area of responsibilities;
- Supervise the delivery of services by the sub-contractors prior to but also during the Congress;
- Liaise with the Forum Coordinator and the Members’ Assembly Coordinator and other IUCN staff to ensure that their requirements are being properly met;
- Coordinate with the Congress Logistics Officer in order to keep IUCN staff, members and partners informed of logistical arrangements for the Congress;
- Participate in meetings of the Congress Support Unit and other units, as necessary;
- Participate in site visits as necessary.
2. On-site in Jeju, Korea
- Assist as required the Congress Logistics Officer;
- Attend the Congress, supervising the implementation and timely delivery at the Congress site of logistics linked to the above;
- Participate in meetings of the Congress Support Unit and other units, as necessary;
- Participate in the daily briefings organized for all IUCN staff participating in the Congress;
- Troubleshoot any problem areas and implement agreed contingency measures.
3. After Congress
- Review invoices, if any, for projects under direct supervision;
- Assist the Congress Logistics Officer as required;
- Contribute to a “Lessons learnt and how to improve next Congress” exercise.
REQUIREMENTS
• University degree or commercial section studies or apprenticeship. Hotel / event education preferred.
• Experience in event management preferred. Experience in working with hotels and Congress Centres preferred.
• Fluent in English, knowledge of Korean and/or Spanish and French is a plus.
• Microsoft Office (especially Excel and Access), knowledge of other databases (e.g. Hotel / Event / reservation)
• Excellent managing, interpersonal, motivating and organizing skills.
• Capacity to react quickly and flexibility in the face of sudden changes; able to work under pressure; multi tasking; attention to detail.
• Service-oriented attitude.
• Ability to travel and to work flexible hours if required (particularly as the Congress dates approach).
• Eagerness to learn.
