Job Summary: Provide support for accounting and finance in daily operations of cash receipts, cash disbursements, accounts payable, accounts receivable, G/L account reconciliations and analysis, month-end closing, monitor and maintain timesheet and expense processes and support payroll processing.
Reporting and Relationships: The Accounting Clerk reports to the Staff Accountant in the Kampala office.
Availability: The Accounting Clerk will be expected to work a typical work week of 40 hours plus additional hours as necessary to get the job done.
Essential Job Functions:
• Prepare cash receipts deposits and posts related entries;
• Generate recurring Requests for Payment;
• Enter A/R into accounting system and produce invoices;
• Enter A/P into accounting system;
• Assist in processing payroll, including updating timesheet templates and collecting timesheets on a monthly basis;
• Complete salary allocation entries;
• Provide new employee orientation for Finance department processes including completing time sheets, preparing expense reports and requests for payment where needed;
• Investigate inquiries and report findings made by clients, vendors and management;
• Maintain in-office document filing system; ensure all relevant documentation is scanned and filed in online file sharing platform;
• Maintain proper and up to date records of advances given to staff; ensure advances are accounted for in line with policy;
• Assist the Accountant in ensuring that recommendations from the previous audit are implemented and findings resolved promptly;
• Provide support in asset management; ensure all assets are well maintained, engraved and accounted for according to policy;
• Assist the Accountant in ensuring that risks are minimized in daily operations of the organization
• Perform other duties within the Finance team as assigned.
Required Knowledge, Skills, and Abilities:
• Strong expertise in Word and Excel along with general Windows applications;
• Manage and utilize accounting information systems;
• Organizational, analytical and research skills as well as the ability to conceptualize business issues and develop processes, procedures or solutions;
• Ability to effectively communicate both written and verbal with all staff members and outside vendors;
• Great communication skills and someone that is willing to learn on the job;
Education and Experience:
• Bachelor’s degree in Commerce or Business Administration with a concentration in Accounting preferred;
• 3 - 5 years of related experience. Additional related experience may be substituted for formal education.
Physical and Environmental Conditions:
This position does not require unusual demands for physical effort. This position may occasionally require physical effort to lift and transport boxes weighing no more than 50 pounds.
Work environment involves everyday risks or discomforts that require normal safety precautions typical of places such as offices, meeting or training rooms, residences, or commercial vehicles; e.g., use of safe work place practices with office equipment, and/or avoidance of trips and falls, and observance of fire regulations and traffic signals.
