Management and Development for Health, (MDH) is a non for profit organization in Tanzania contributing to address public health priorities. MDH works with the Ministry of Health and Social Welfare, academic and non academic institutions within the country and worldwide, to address the problems of tuberculosis, malaria, HIV/AIDS, nutrition, maternal and child health and to undertake initiatives to advance public health research, education, and services for improving the lives of people.
POSITION; ADMINISTRATIVE ASSISTANT TO CEO.
Location : Dar es Salaam
Reporting : Senior Program Administration Manager
Job summary: The Administrative Assistant to CEO acts as an assistant to the Senior Program Administration Manager to make sure there is smooth running of CEO's office.
Responsibilities
• Screening telephone calls, enquiries and requests, passing them to the CEO when appropriate, provide timely, effective diary management by prioritizing and organizing meetings with internal and external stakeholders in consultation with the CEO.
• Resolve conflicting demands upon the CEO’s time from reporting staff, within organization and representatives of internal and external stakeholders
• Receive visitors for the CEO and deal with them as required.
• Dispatch letters and messages from the CEO’s office to different destinations
• Plan ,organize and manage meetings and conferences for the CEO
• Receive all mails for the MDH, sort them and deal with them as required
• Reply to different office mails for the MDH and have him sign them.
• Prepare brief notes , letters, presentations and speeches for the CEO
• Set up CEO’s travel and accommodation arrangements as required
• Maintain the general filing system and file all correspondence
• Perform other related duties as required
Required Qualifications:
Bachelor degree in Business Administration
Diploma in Secretarial Services
At least 3 years work experience in same similar job
Fluent in English and Kiswahili and ability to communicate effectively in both languages.
Solid computer knowledge including skills with Microsoft word, PowerPoint, access and excel.
Required Skills:
Excellent organizational skills.
Ability to work in an efficient and effective manner.
Good timekeeping skills and ability to meet deadlines.
Ability to remain calm under pressure.
Diplomatic, confident and professional
Strong communication skills, both written and spoken.
Adaptability and flexibility. Certain jobs may require longer working hours during busy periods at short notice.
Discrete, creative and innovative
Ability to multi task.
Ability to handle visitors in an appropriate manner
Should have good interpersonal relationships
