The Better Immunization Data (BID) Initiative’s strategy is based on the premise that better data, plus better decisions, will lead to better health outcomes. Its vision is to empower countries to enhance immunization and overall health service delivery through improved data collection, quality, and use. The BID Initiative will shine a light on the challenges surrounding data collection, quality, and use, and identify practical, country-owned, country-led solutions in immunization that could spread to other health interventions. The Initiative will partner with countries and global health stakeholders to develop and deploy a holistic and scalable approach that focuses on information system products, data management policies, and the practices of people that use them in order to enable evidence-based decision making. These components will be packaged into a replicable solution that can be easily and cost-effectively adapted by additional countries interested in using it to improve their immunization management. If successful, a true tipping point will occur—one in which countries can access, analyze, and act upon accurate immunization data—anytime, anywhere, resulting in improved immunization outcomes.
PATH seeks to recruit a Senior Project Administrator who will play a critical role for the BID Initiative team in Tanzania. This position will lead the overall financial and project management of the initiative in Tanzania, as well as manage the internal team communications and functions to ensure a strong and effective team is in operation for the initiative within the country. The Senior Project Administrator will work closely with both the BID Initiative Operations Lead and the Project Administrator based out of Seattle to guarantee consistency of work across the full BID Initiative globally and regionally, as well as alignment with all PATH policies and procedures. The hiring of this position is dependent upon confirmation of funding.
Job responsibilities will include:
- Lead in the development, management and monitoring of budgets for the BID Tanzania team in coordination with the BID Initiative Deputy Director and Seattle-based Project Administrator.
- Develop quarterly cash expenditure projections, in accordance with PATH procedures, for use in the PATH Tanzania quarterly cash request.
- Oversee preparation of financial transaction documentation to ensure it is complete, accurate, and complies with applicable polices and internal procedures; review documentation prepared by other team members to ensure quality of work, including accuracy, attention to detail, and compliance.
- Facilitate processing of transactions by PATH Tanzania, liaising with the Site Administrator for processing and generation of payments, purchase orders, etc.
- Assist BID management team in the establishment of new project sites beyond Tanzania as necessary.
- Participate as a member of the BID Initiative management team to help develop strategy, translate the strategy into action plans, provide overall coordination of activities and their implementation, resolve issues, and communicate project information to facilitate the success of the BID Initiative in Tanzania.
- Create and manage the project timeline and integrated work plan, including tracking of various team activities, key resource allocations, critical-path management, and parallel track planning to ensure milestones and deliverables are constantly defined and monitored across the initiative within Tanzania.
- Identify, implement, and manage team tools to improve communication, work efficiency, and collaboration within the Tanzania BID Initiative team, as well as with team members in other countries as needed through virtual teaming practices.
- Lead proper planning, completion, and dissemination of deliverables in coordination with Tanzania leadership team; develop and maintain tracking systems for project implementation.
- Provide management support to the team and serve as performance leader for selected team members as appropriate.
- Assist technical staff in the development and submission of documents for consultants, contracting, and procurements; monitor and report progress against contract and agreement SOWs, budgets, reporting, payment schedules and deliverables.
- Develop and maintain a procurement plan for the BID Initiative Tanzania Team, based on the annual work plan, in coordination with program and technical staff; establish the timeline for initiation of procurements, allowing time for complete procurement process per PATH procurement policy.
- Work with technical staff to plan the administrative and financial resources required for work plan activities; and work through established channels and procedures to put those resources in place.
- Ensure that all activities are conducted with the approval of appropriate BID Initiative designees for expense approval and technical oversight.
- Coordinate drivers and administrative assistants to plan and coordinate full range of logistics for workshops, meetings, & field work exercises; develop detailed budgets for activities using established formats; manage cash disbursements to meeting, workshop, and field work exercise participants; prepare financial reports of workshops, meetings, and field work exercises.
- Supervise all administrative assistants.
- Maintain an active knowledge and understanding of PATH and BID Initiative policies and procedures; seek out guidance from the relevant authority to resolve policy questions; and recommend changes to policies and procedures when appropriate and necessary.
- Maintain regular communication with the Seattle-based management team regarding project administration issues, highlighting issues that need attention, and requesting additional support as needed to implement activities successfully and in compliance with policies and procedures.

- Demonstrated skill in budget development, financial tracking and analysis.
- Fluency in English required.
- Proficiency with Microsoft Office suite; particularly Excel.
Master’s degree in management, finance, business, accounting or other relevant field, plus minimum five years of experience in administrative and/or project management and contract functions. experience in working with major donor awards and across multi-country projects preferred.
You must currently have legal authorization to work in Tanzania.
