Job Purpose
The Administrator shall have the prime responsibility for provision of Administrative support services to the Directorate of Consultancy and Tailor made programmes
Duties and Responsibilities
1. Coordinate, monitor and report on Consultancy and customized programme activities progress;
2. Maintain and update the consultancy plan period and report on progress;
3. Follow up schedules and reports for tailor mades, consultancies and meetings;
4. Prepare course evaluation reports on tailor-made programmes and follow up on the implementation of recommendations;
5. Source from the print media and the internet for possible consulting opportunities in form of Expression of Interests (EOIs) or Request for Proposals(RFPs) and alerting the Director of such opportunities;
6. Keep record of all submissions made on either EOIs or RFPs;
7. Maintain updated CVs of all consultants and provide relevant CVs to writers of EOIs or RFPs;
8. Writing and responding to Expression of Interests (EOIs) or Request for Proposals(RFPs)
9. Keep record of all EOIs that have resulted in proposal and all proposals that have resulted in successful bids for consultancy or customized training;
10. Coordinate all the different aspects of programme, consultancy and customized training, ensuring deadlines are met and keeping all team members informed of the progress;
11. Keep record of all work in progress on successful bids, monitoring consultants’ time usage and alerting the Director on time overruns or otherwise and indicating the relations between time usage and time planned for various assignments;
12. Keep record of time sheets of all consultants assigned to a consulting assignment or customized training and provide information for credit apportionment to each consultant;
13. Respond to enquiries and provide general information to team members and routine correspondences;
14. Maintaining record of all completed reports in both hard and soft copies and avail to consultants as and when required;
15. Provide administrative support to research activities and maintain a record of all research reports and publications;
16. Prepare and process travel arrangements for consultants assigned to consulting or customized training assignments and follow up on accounting for the same;
Qualifications and experience
A Bachelor’s degree in Business administration or in a relevant field with five (5) years’ relevant experience in programme management and proposal writing.
Training in documentary, programme management and record keeping will be an added advantage Competence and Skills
