Mary Immaculate Hospital is managed by the Diocese of Rumbek (DOR). The locally trained Sudanese staffs the Hospital. However, expatriate staff fills all the senior positions, as there is currently no qualified Sudanese staff ready for these positions. Therefore, DOR requires a technical advisor who trains Sudanese people in order to support the establishment of a workable administration of the Hospital.
Your tasks Give advise in: Administration • Arranging the agenda of any meetings and producing the written minutes of any Hospital Meeting. • Communication, correspondence and information flow of the Hospital. • Networking at administrative level with counterpart organisations, in particular with the Sudanese Ministry of Health (SMoH) in Rumbek. • Organization of the monthly Inpatient statistics, and to supervise the preparation of all other statistical reports, namely Epidemiological monthly, Weekly Disease Surveillance, Laboratory monthly, HIV monthly and quarterly. • Accounting of Staff Annual Leave, Permit Leave, Non-Permit Leave and to assist in the preparation of the Staff Annual Leave Roster. • Maintaining and storing systematically the Hospital files including the archive files. • Reporting and applying of project proposals. • Recruiting of suitable people for any positions available. • Preparing contracts and/or renewing contracts and employment agreements. Financial section • Keeping a running cash account for combined inpatient and outpatient income / outcome and to present a monthly balance sheet. • Preparing of the monthly salaries. • Organizing and paying the monthly staff incentives and reconciling the pay sheets. Logistics • Supervise the Hospital Maintenance Section and the Fuel Store, and to assist the in charge of the Hospital maintenance at placing in time the supply orders. • Keeping a stock record and to order any stationery items. • Preparing the Hospital Supply Orders, and follow-up the Orders with the suppliers in Nairobi and Kampala. • Supervise the new Hospital building constructions, helping at making the contract with the Building Company and making sure that the constructions proceed according to the contract. • Oversee the movements and the general conditions of the hospital cars, helping the driver to keep the logbooks updated and checking that the car documents are in order.
Your profile • The applicant will have a suitable qualification and experience in the field of Business Administration. • The applicant will have some knowledge of Building construction, Logisitics and Supervision of Projects and staff involved. • A prior knowledge of working in a developing country (preferable Africa) and/or hardship situation would be indispensable. • This placement is unsuitable for families and children.
