The Alliance for a Green Revolution in Africa (AGRA) is a not-for-profit organization formed in 2006 to work with African governments, farmers, donors, NGOs and the private sector to reduce hunger and poverty in Africa through agricultural development targeted at resource-poor farmers. AGRA has its headquarters in Nairobi, Kenya and an office in Accra, Ghana.
AGRA is seeking to recruit experienced and exceptional individuals to fill the following positions:
Executive Officer - President’s Office
REF: EO — 11112
The Executive Officer will be the primary administrative aide to the President and will be responsible for the day to day oversight of the President’s office.
The Executive Officer will act as a coordinator and liaison between departments, programs, and AGRA partners.
This position will ensure the provision of high quality support to the President’s office.
Specific responsibilities will include:
- Coordinating work plans and protocols in the President’s office and providing assignment updates;
- Maintaining a calendar of events for the President’s office and prioritizing meetings and activities;
- Scheduling the President’s travel and compiling expense reports promptly;
- Monitoring the travel budget for the President’s office and ensuring the Presidents’ direct reports’ travel expenses are approved in a timely manner;
- Liaising between the Grants unit and the President’s office to ensure that Grants Committee meetings’ action points are acted upon as required;
- Liaising between the Communications office and the President by coordinating media briefings;
- Assisting in preparing for Board meetings in liaison with the Board Secretary; and
- Acting as Project Manager for any special activities under the auspices of the President.
Key Qualifications, Knowledge & Experience
- Master’s degree in Business Management, Public Administration or other business related field;
- At least 7 years’ post-qualification experience in managing a busy executive office, preferably in a not-for-profit organization;
- Professional certification in the field of administration. Formal secretarial training is preferred; and
- Excellent command of English. Fluency in French will be an added advantage.
Executive Assistant
REF: EA — 11112
Reporting to a Director, the Executive Assistant will be responsible for providing a variety of supervisory, administrative, coordinating and logistical services in support of the Director.
In this capacity, the Executive Assistant will be the voice of the Director both internally and externally.
This position will work closely with other program and administrative departments.
Specific responsibilities will include:
- Managing the day-to-day operational and administrative activities of the Director and following up to ensure timely action;
- Screening correspondence, issuing acknowledgements, replying to enquiries as appropriate and drafting correspondence on behalf of the Director for his/her review;
- Receiving, screening and redirecting telephone calls as required;
- Liaising closely with the Program Officers, Coordinators and Assistants to assist in specific grant- related tasks for the respective program area;
- Supporting the Director to compile project completion reports;
- Compiling information from files, publications, libraries, databases and other sources of information as required by the Director;
- Organizing the Director’s travel in liaison with the Travel unit;
- Maintaining up to date records of activity reports and travel plans for respective departmental staff on behalf of the Director;
- Making administrative and logistical arrangements for visitors to the Director and for the Directors’ visits to external parties; and
- Making necessary arrangements for the Director’s meetings, workshops and conferences.
Key Qualifications, Knowledge & Experience
- Bachelors’ degree in a business-related field;
- At least 5 years’ work experience in a busy executive office, preferably in a not-for-profit organization;
- Professional certification in the field of administration. Formal secretarial training is preferred;
- Computer proficiency, especially in MS Office applications; and
- Excellent command of English. Fluency in French will be an added advantage.
