ROLE PURPOSE
- Support the Country Director and team members in their roles
- Manage the Country Representative Office Back Office (CRO)
ACCOUNTABILITIES
- Organization and Coordination of meetings, workshops and conventions (international) events, business trips and meetings
- Travel booking and management (in collaboration with travel agency) re accommodation, transportation, visa, etc.
- Invoice and Expense Management
- Handle electronic invoicing in coordination with the team and finance partner (SAP)
- Manage expenses claims for team members
- Independent handling of general correspondence as well as specific tasks in the CRO
- Diary Management (work with Outlook)
- Provide assistance to colleagues with the necessary administrative guidance / support
- Operate the phone line of team members in absence
- Administrative support in projects
- Circulate mail (incl. UPS shipments to countries)
- Administration of CRO correspondence, files (incl. archive)
- Maintain the CRO intranet site and GPS as well as team-space
- Manage status for CRO budget and expenses
- Organization of internal and external mail
- Order / administration of office equipment and tools
Desired Skills and Experience
KNOWLEDGE, EXPERIENCE & CAPABILITIES
- 5 yrs minimum as an executive assistant in international companies (sector indifferent, industry or services)
- Excellent command of Swahili and English. Sharepoint/teamspace skills as well as a solid administration background are advantageous
- Very good assistant skills with previous experience as assistant to senior executive
- Autonomy in organizing work and priorities
- Microsoft Office knowledge (Word, Excel, Outlook and PowerPoint)
- SAP – GPS knowledge (advantageous)
- Ability to handle confidential and sensitive information with care (discretion)
- Ability to assert oneself, sense of responsibility
- Supportive, flair for organizational tasks (organize, supervise appointments, coordinate meetings, organize trips etc.)
- Willingness to cooperate, ability to communicate, capacity for teamwork, therefore build up relationships with different people and departments and maintain them (“networking”)
- Readiness to broaden knowledge
- Flexibility concerning working hours
