Background:
The Haiti-Rwanda Commission (HRC) was founded with the support of the Rwandan government in the wake of the devastating January 2010 earthquake in Haiti. The purpose of the HRC is to help facilitate the sharing of lessons and experiences in post-disaster rebuilding process between Rwanda and Haiti through “South-South” cooperation. The HRC has now been operating for over a year in Rwanda, primarily through the support of the Ministry of Foreign Affairs (MINAFFET).
In January 2011, HRC brought five Haitian university students to study in Rwanda with the strong support of the Government of Rwanda; in October 2011, one additional student will be joining the HRC educational program.
Internships are being arranged with local Ministries and non-profit grassroots organizations to further document the lessons, experiences, programs, and policies that have shaped Rwanda’s post-disaster rebuilding.
HRC is seeking a dynamic, flexible, and talented Rwandan national to support these activities as a Program Assistant working in the organization’s Kigali office. This is a great opportunity for candidates with experience in administrative work and/or logistics, program coordination strong secretarial skills, and an interest in international affairs.
PLEASE NOTE THAT THIS IS AN UNPAID INTERNSHIP POSITION. You will be provided a small stipend for transportation and communication related to your work duties but at this time we are unable to offer a paid salary position with benefits. There is potential for renewal of this contract after six months and potential of promotion to a paid salary position. This is dependent on the employee’s performance and the funding available at the time of contract renewal.
Responsibilities:
The Program Assistant will be responsible for general administrative, secretarial, and logistics support, as well as program assistance working full-time in HRC’s Kigali office. He or she will work closely with the HRC Chair and other members, liaise with students and interns in Rwanda and partner representatives as well as support staff from Boston, and aid in the coordination and implementation of HRC activities.
Specific responsibilities include, but are not limited to:
- Program assistance. Assisting with program documentation and working directly with staff at partner institutions to gather information and materials for future use.
- Administrative and accounting assistance. Maintaining organizational calendar, delivering official letters and reports, tracking expenditures, maintaining organizational budget, reviewing CVs.
- Secretarial assistance. Drafting emails and letters, photocopying, printing, scanning, filing, scheduling appointments; distributing meeting minutes.
- Hospitality assistance. Aiding in logistics for donors, planning orientations for new students and interns.
- General logistics support. Procuring supplies, coordinating international travel and visas for HRC staff, students, and interns.
Qualifications:
- Able and willing to work full-time without salary. You will receive a stipend for transportation and communication related to your work duties.
- Bachelor’s Degree (A0) in Administration, Social Sciences, International Affairs or other related field.
- Professionalism and discretion in the workplace.
- Demonstrated interest in international affairs or policy preferred.
- At least one year of administrative, logistics, secretarial, or other relevant work experience;
- Basic accounting skills- able to enter and track expenses on an Excel workbook and provide monthly reports of expenditures.
- Very strong computer skills (Microsoft Word, Excel, PowerPoint, Internet applications, etc.)
- Excellent organizational skills and ability to multi-task.
- Excellent communication skills- able to communicate effectively both written and orally and competence in writing letters of official correspondence in both English and French.
- Able to work independently, take initiative and prioritize tasks. The schedule for this work is somewhat flexible but there are certain deadlines for regular tasks that will require attention to detail and promptness. The candidate must be willing to work when needed, which may on occasion include evenings and weekends.
- Excellent English and French.
- Fluent in Kinyarwanda.

Additional information
Please note that this is not a senior position requiring more than 5 years of experience, but we do expect that all candidates have graduated from university and have had some work experience, which can include previous employment, internships and volunteering.
