Title: Administration Manager
Location: Kigali-Rwanda

Summary Scope of Work:The Administration Manager is responsible for providing overall administrative support to the Jhpiego Rwanda office as required. S/he is responsible for developing and establishing administrative, security, stores/asset management and transport systems to ensure the integrity, smooth running and effective performance of Jhpiego Rwanda offices. S/he supervises the activities of the administrative staff working in Rwanda country offices. S/he will work closely with the Sr. Finance and Administration Manager and will proactively identify gaps and make suggestions for improvement in the administration department.
Position Reports To: Senior Finance & Administration Manager.
Positions Supervised: Administrative Assistant, Logistician, and drivers
Responsibilities:
- Provide oversight over all the Jhpiego Rwanda office administrative operations .e.g. Sup plies, stores management, Transport, etc.
- Establish administrative systems and provide guidance on implementation for smooth of lice operations
- Work closely with the Senior Finance and Administration Manager to review and regularly update transport policy
- Act as the key liaison person between Jhpiego and Rwanda Administration (ministries, departments, and immigration)
- Develop and implement standard operation procedures for the administration department
- Develop innovative and efficient ways of administrative operations with a focus on cost cutting
- Oversee shipments of equipment and educational materials and reviewing documentation.
- Oversee local, regional and international travel for both local and international staff
- Reviews and maintains administrative files/reports. For example, standard operation procedures, etc.
- Identify career development opportunities to develop administrative staff
- Ensure vehicles movement are well coordinated and book logs are well maintained
- Ensure all inventories and fuel are well managed
- Provides feedback to the Senior Finance & Administration Manager on routine office operations.
- Supervise the Administrative Assistant, Logistician and Drivers
- Assume other responsibilities as assigned
Required Qualifications
- University degree in Business or Public Administration
- MBA preferred
- Five (5) years of experience in a 'similar capacity.
- Proficient in the use of computer§ and Microsoft Office
- Experience working in a busy office within the private sector and especially with an international organization
- Proficient in Computer skills including demonstrated hands on-experience with MS Word, MS Power Point, MC ACCESS and MS Excel.
- Proficiency in both written and spoken English and Kinyarwanda.
- A broad variety of administrative, office management and computer skills
- Experience in managing teams and supervising multi-cultural staff.
- Be self motivated, proactive and have a positive attitude to work requiring minimum supervision.
- Excellent organizational skills including the ability to handle a variety of assignments sometimes under pressure of deadlines.
- Be cooperative, hardworking, flexible & dependable.
- Ability to communicate effectively, instilling trust and confidence.
- Be of high integrity and have a sense of confidentiality
- Be willing to take on extra responsibilities in order to achieve the goals/objectives set by the organization
