OBJECTIVES OF THE PROGRAMME : To provide administrative support to Regional Personnel Officer and serve as a focal point on the Human Resources component of the Global Management System (GSM) (WHO ERP). | |
Description of duties: 1. Provides secretarial/administrative support to Regional Personnel Officer (RPO): - Receives, registers and routes correspondence and maintains a follow-up system. Drafts memoranda, notes for the records, briefing notes, statistical reports, tables, talking points, minutes, statements and other non-techncial correspondence, including confidential materials. Assist supervisor in preparation of presentations on HR matters. - Maintains supervisor's calendar, arranges meetings, receives visitors and phone calls, makes travel arrangements. - Disseminates RPO's instructions to Personnel staff, arranges staff meetings and other office events, coordinates leave and serves as a timekeeper for Personnel Staff. - Opens, organizes and maintains policy and confidential files, undertakes information searches in current and archived records and electronic media. Coordinates maintaining HR pages on WPRO intranet with ITG, compiles the materials received from other PER staff. 2. Provides assistance to supervisor, colleagues and clients on GSM HR-related matters: - Assists supervisor with preparation of workplans and results reporting. - Serves as a focal point on HR component of GSM including self-service training. Advises colleagues and clients on the processes to follow in GSM to initiate HR-related actions and personal information update. Participates in training newly recruited staff in using GSM self-service and HR professional screens as necessary. Liaises with WHO/HQ GSM team on GSM-related concerns, remedial actions and implementation reports. Performs other related tasks as required. | |
REQUIRED QUALIFICATIONS | |
Education: Completion of secondary education is required. Completion of specialized secretarial, typing or office management training is essential. | |
Skills: Good working knowledge of office managements practices, WHO Records Management regulations, standard office software and ERPs (such as Global Management System) is essential. Familiarity with WHO SDL strategy, learning priorities and guidelines for utilization of SDL funds. Ability to work under pressure. Excellent interpersonal and organizational skills. Discretion and a high degree of responsibility in working with confidential information. | |
Experience: 5 years of experience in administrative support, secretarial or clerical work. Experience in human resources management an asset. Cross-cultural experience desirable. Experience in working with ERP systems and electronic job evaluation tools an advantage. | |
Languages: Fluency in written and oral English is required. | |
