The Fragile States Unit (OSFU) coordinates the Bank’s interventions in Fragile States. The mandate of the OSFU is to oversee the implementation of the Fragile State Facility (FSF) and to bring together all of the Bank’s interventions in fragile states to ensure that they are country responsive, are based on rapid response principles, and are designed in coordination with other partners.
The position is meant to assist the OSFU staff on a number of administrative tasks related to the improved functioning and delivery of the Unit’s work. Due to increasing work load pressures and the volume of coordination handled by the Unit, the need for this incumbent has become evident to clear a large backlog and to contribute to the smooth running of the Unit and the office.
Duties and responsibilities
Under the general supervision of the Head of Unit, the incumbent performs the following tasks:
- Manage the flow of information office, receiving and recording all correspondence in / out and verifying the attachments and the basic documents
- Review and sorting mail by priority and importance to the urgent attention of the Head of Unit
- Enter the Unit documents, memoranda and reports;
- Prepare draft replies to correspondence for signature;
- Share information between the Head of Unit and staff
- Monitor and update the schedule of meetings and appointments of the Head of Unit and remind him at the appropriate time;
- Receive external visitors, staff of the Bank and answer calls;
- Assist staff in performing administrative tasks.
- File documents and maintain a proper filing system for the Unit
- Manage travel formalities (Visa & Accommodation)
- Manage SAP CLAIMS missions
- Provide general support to the Division
- Prepare various documents and administrative procedures (Leave, absences ...)
- Enter bookings and order office supplies in SAP
- Save files in DTS
This Position Does Not Attract International Terms and Conditions
(Incumbents of the post will be considered as local staff and will therefore not have international status)
Selection Criteria
Including desirable skills, knowledge and experience
- A minimum of a BTS or DUT or Bachelor’s Degree in Business Management, Commerce, Hospitality Administration, Office Management or related discipline.
- Preferably a minimum of three (3) years of progressively relevant and practical experience preferably in international organization.
- Strong Customer service skills, good organizational skills, ability to multitask, attention to details and ability to work with diverse workforce.
- Excellent written and verbal communication skills in French and/or in English.
- Competence in the use of the Bank’s standard Software (SAP, Word, Excel, Access, and PowerPoint). A good typing skill is highly desirable with excellent levels of initiative, enthusiasm, team spirit and organizational and interpersonal skills.
